How do you approach an employee that has a body odor causing distractions?  This conversation can be a difficult one to have, but don’t stress. Here are a few helpful tips to move smoothly through the conversation.

Always be aware that this could be embarrassing to them and even emotional. Speak in a private location that is not noticeable to other staff. This will allow your employee the opportunity to speak freely. Keep an open mind to hear their opinions and reasons. This could be the first time they have heard something this hard. It could also be a health condition or the product of taking public transportation.

It is always good to have refresher courses during the year and upon hire about hygiene awareness.  Policies regarding clean workplace can be in motion as a general “overall” practice. Also mentioning in employee handbook is a way to ensure staff understand its importance.  When discussing this with your staff make sure that you always stay gender and race neutral.

Remind the staff they are all valued and accommodations can be discussed privately. If accommodations are requested do not set unrealistic timelines to correct the issue.  Allow the employee time to process the information given and correct/ treat the issue.
